privacy policy

redwood akagi (we, us) runs this member roster at redwood-akagi.xyz. this policy explains what data we collect, why, and what you can do about it — no legal maze. we comply with indonesia's personal data protection law (uu no. 27/2022, "UU PDP") and align with GDPR principles for visitors from the EU.

what we collect

only what the roster needs to function:

• member profile — the name you go by, your in-game nick(s), and your picked category (girl/guy). submitted via the join form.
• nick change requests — your old nick, new nick, and any note you add.
• member photo (optional) — uploaded by staff, resized and stored as webp.
• roster logs — records of who changed what and when, for accountability.
• session cookie — a login cookie for staff only. httpOnly, expires in 30 days, contains no personal data.

we do not run ads, analytics trackers, or third-party profiling cookies. no fingerprinting, no data brokers, nothing sold — ever.

why we process it

• to keep an accurate club roster (who's in, what nick they use) — legitimate interest of running the community;
• to process your join / nick-change requests — your consent, given when you submit the form;
• to keep the history of changes — club accountability.

where it lives & who sees it

data is stored in a managed database (turso, tokyo region) and photos in vercel blob storage. only club staff with a staff key can edit records. your displayed profile is public to anyone viewing the roster — that's the point of a showcase. if you want it hidden, ask and we hide it (see below).

how long we keep it

member records stay while you're in the club. leave or get removed, and your record moves to an archived state — we don't hard-delete history by default, but we will on request. nick change requests are cleared once handled. logs are kept for club accountability.

your rights

under UU PDP (art. 5–13) and GDPR, you can ask us to:

• access — what data we hold about you;
• correct — fix a wrong name, nick, or category;
• erase — delete your profile and photo entirely;
• restrict / hide — keep your record but hide it from the public roster;
• portability — get a copy of your data;
• withdraw consent — ask us to stop processing your join request at any time.

requests go to the club staff via our discord or the change-request form. we act on them within 30 days at the latest — usually much faster. you also have the right to lodge a complaint with the indonesian data protection authority (kominfo).

photos

photos are uploaded only by staff, only with the member's go-ahead. want it removed? one message and it's gone from storage for good (not just hidden).

children

this roster is not aimed at children under 13, and we don't knowingly collect their data.

changes to this policy

if we change how we handle data, we'll update this page and bump the date above.
